Purchasing Assistant

The primary role of the Purchasing Assistant is to assist the Purchaser in the generation and placement of purchase orders, sourcing of materials, and reconciling purchases to vendor invoices.  Responsibilities also include ensuring that the most efficient and cost-effective procedures are used to obtain products and services.

  • Prepare purchase orders by generating POs via Acumatica ERP software with efficient and accurate data entry.
  • Purchase materials from established vendors via written email, online websites, or verbally via telephone.
  • Verify specifications and price. Follow up with suppliers, as needed, to confirm or change orders.
  • Monitor and expedite orders as needed.
  • Maintain updated records of order details.
  • Notify Receiving of expected shipments and Will Call orders.
  • Verify receipt of materials by comparing items received to items ordered. Resolve shipments in error with suppliers as needed.
  • Ongoing reconciliation of invoices and credit card purchases.
  • Submit RFQ’s for materials and compare supplier pricing as assigned.
  • Other duties as assigned.
  • Self-starter; levelheaded in a fast-paced environment.
  • Proven analytical and organizational skills, attention to detail, with a sense of urgency.
  • Ability to suddenly change focus when required, but able to return to original task(s) when crisis is resolved.
  • Demonstrated high levels of verbal and written communication, human relation skills, math, and reasoning ability.
  • Computer efficiency required in Outlook, Excel, and Word.
  • Familiarity with ERP systems preferred. Experience with Acumatica a plus.
